📝 Hotel Saptarshi – Commercial Meeting Terms & Conditions (Pax System)
💳 Pax Booking & Payment Policy
Token Amount: A casual token amount does not guarantee confirmation. The venue is officially locked only upon receiving the formal advance.
Advance Payment: A minimum deposit of 50% of the total bill (calculated based on the initial agreed Pax count) must be paid at the time of booking.
Final Settlement: The remaining 50% balance payment based on the minimum guaranteed Pax must be fully cleared at least 7 days prior to the meeting date. Any extra Pax plates or additional corporate utilities (projectors, extended hours) must be settled immediately at the conclusion of the event.
📊 Attendance & Catering (Pax Control)
Minimum Pax Guarantee: The client must provide a final minimum guaranteed Pax count 7 days prior to the event. Billing will strictly be calculated on this minimum guaranteed number or the actual attendee count, whichever is higher.
Excess Pax Margin: The kitchen will prepare a buffer to cater to a maximum of 15% additional attendees over the given Pax guarantee. Beyond this 15% margin, the hotel management reserves the right to close the buffet. Fresh food arrangements for extra attendees will require a minimum setup time of 45 minutes.
Pax Verification: Corporate representatives and a hotel official will jointly count and sign off on the Plate Control Sheet at the end of the dining session, which forms the final basis for billing.
Session Timings: Food and beverage circulation is limited to 2 hours per session.
Lunch Session: 12:00 Noon to 2:00 PM
Dinner Session: 7:30 PM to 9:30 PM
🚫 Corporate Venue Restrictions
Branding & Property Protection: No promotional banners, backdrops, or corporate posters may be nailed, hammered, or pasted onto the hall walls, ceilings, or granite surfaces. Any damage caused by external event decorators or branding teams will be assessed by management and must be settled before closing.
Audio & Equipment: Sound systems for presentations must adhere to indoor volume limits. High-noise equipment, firecrackers, or disruptive musical instruments are strictly prohibited near or inside the premises.
Valuables & Changes: The hotel is not responsible for corporate laptops, AV gear, or personal valuables left in the hall. Management reserves the right to reallocate the meeting room due to unforeseen operational emergencies.
Environment: The entire venue is strictly non-smoking. All corporate packages are subject to applicable government taxes and service charges.
❌ Official Cancellation & Refund Policy
Standard Rule: All corporate booking cancellation requests must be submitted in writing. Advance deposits are non-refundable and non-transferable.
The 90-Day Clause: The advance payment is only refundable or transferable if a formal written cancellation notice is received by the hotel at least 90 days prior to the meeting date.
Emergency Cancellations: Full refunds are only issued if the cancellation is forced by the hotel's operational limitations or unexpected government administrative guidelines.
